Training your staff is equally important. The person receiving deliveries should understand quality standards, know how to use measuring equipment, and be familiar with your Standard Purchase Specifications. They’re essentially your quality control officers, and their attention to detail can save your operation thousands of dollars and protect your reputation.

Step 1: Conducting a thorough visual examination

The first step in effective food receiving control involves a comprehensive visual inspection of all delivered items against your purchase order. This isn’t just a quick glance – it’s a systematic examination that can reveal potential problems before they enter your facility.

Start by checking the delivery truck itself. Is it clean? Are refrigerated items being transported at proper temperatures? For frozen goods, look for signs of thawing or ice crystals, which might indicate temperature abuse during transport. Fresh produce should appear vibrant and free from obvious signs of spoilage or pest damage.

What to look for during visual inspection

During your visual examination, pay attention to packaging integrity. Dented cans, torn packages, or swollen containers are red flags that shouldn’t be ignored. For meat and dairy products, check expiration dates and ensure they meet your establishment’s shelf-life requirements. Remember, accepting products close to expiration might seem economical, but it could lead to waste if you can’t use them in time.

Step 3: Accepting only items that meet your standards

This step requires backbone and clear communication. Not every delivered item will meet your standards, and that’s okay – the key is knowing when to say “no” and having the authority to reject substandard products.

Your Standard Purchase Specifications should serve as your reference during this process. Step 5: Immediate transport to proper storage

The final step in effective food receiving control involves getting your accepted items to their designated storage areas as quickly as possible. This might seem like a simple task, but proper handling during this transition is crucial for maintaining quality and food safety.

Prioritize temperature-sensitive items first. Frozen goods should go directly to freezers, refrigerated items to coolers, and dry goods to clean, pest-free storage areas. The longer items sit in the receiving area, the greater the risk of temperature abuse or contamination.

Storage best practices

Organize your storage areas to follow the FIFO (First In, First Out) principle. Place newer deliveries behind older stock to ensure proper rotation. Label items with receiving dates when necessary, and conduct a final quality check as you put items away – sometimes damage or quality issues become apparent during handling.

Verifying quality and price accuracy
